An attendance system is a management system that tracks and manages employee attendance records and other related information. It consists of attendance software and hardware and is typically used by the HR department to monitor and manage employee attendance in the enterprise. The system includes two main functions: attendance record keeping and attendance analysis. The automatic analysis of attendance results according to the attendance rules established by the system is the core function of the attendance system.

Attendance rules may vary based on different units and departments within an organization. This is because the nature of work may differ across various job functions, which leads to different attendance requirements at different times. Additionally, labor laws and regulations may also evolve over time, and attendance rules need to keep up with these changes. 1. Real-time Attendance Query

In any case, an attendance system can allow real-time querying of each employee's punch-in/out records, and can also query records of those who did not punch in, based on certain conditions such as employee ID, date, and time. This enables HR departments to have detailed records of employees' attendance history.

2. Basic Attendance Management

Based on pre-defined attendance settings, the attendance system can process various attendance data, automatically determine late arrivals, early departures, absences, and effective punch-in times. For instance, the system allows for the checking of abnormal punch data and details of effective punch-ins based on specific conditions. In the query functions for late arrivals and early departures, the corresponding number of minutes can also be entered to filter staff who exceed the designated time limit.

3. Various Attendance Statistics

The attendance system can provide real-time statistics on staff work, overtime, lateness, early leave, leave, absence, and other relevant attendance information (including abnormal attendance times and minutes) to generate comprehensive summary reports. It can also perform statistical analysis based on conditions such as date, job number, department, etc.

4. Automatic Overtime Statistics

The system can automatically calculate the overtime hours of employees based on both the actual overtime worked by employees and the overtime hours arranged by the enterprise, allowing for flexibility in overtime tracking and reporting according to the needs of different companies.

5. Handling Abnormal Records

If an employee fails to clock in due to business affairs, their absence can be recorded as a sign-in record. Similarly, if an employee requests leave, their leave can be recorded accordingly. If there is a change in an employee's working hours or shift, the attendance system can adjust the working hours accordingly. The number of days of leave taken by each employee can be automatically calculated when attendance data is collected for monthly statistics.

The enterprise can flexibly set the number of shifts, the standard time for each shift, and the work schedule for each shift based on their actual situation.

The system allows for flexible setting of the effective punching time for each shift, which helps prevent employees from punching in at their own convenience. This makes management more convenient and reasonable while promoting organized and disciplined employee behavior.

8. Flexible Attendance Setting

Based on the enterprise's specific needs, the assessment criteria can be customized, including but not limited to, tardiness, early departure, absence, and other relevant factors. Each criterion can correspond to a specific evaluation time period and targeted employees.

9. Automatic Identification of Punch-In or Out

The system can automatically distinguish whether an employee's attendance record is a clock-in or clock-out based on the pre-set settings, without the need for human intervention.
